Position Overview:
We are seeking an experienced and highly organized Manager of the Accounts Department to oversee and lead our finance team. The ideal candidate will have a strong background in accounting principles, excellent managerial skills, and a keen eye for detail. As the Manager of the Accounts Department, you will be responsible for managing a team, overseeing the sales and purchase ledger, credit control, and ensuring accurate reporting of financial data for a small but growing group of companies. Your role will be crucial in maintaining the financial health and integrity of the group.
Responsibilities:
1. Team Management:
– Lead, motivate, and supervise a small team of administrators.
– Set clear performance objectives, provide guidance and support, and conduct regular performance reviews.
– Foster a collaborative and positive work environment, promoting teamwork and professional development.
– Provide training and mentorship to team members, ensuring their continuous growth and skill enhancement.
2. Sales and Purchase Ledger Management:
– Oversee the accurate maintenance and reconciliation of the sales and purchase ledger.
– Ensure timely and accurate processing of invoices, purchase orders, and expense claims.
– Monitor and review outstanding balances, ensuring prompt follow-up on overdue payments and resolving any billing discrepancies.
– Collaborate with relevant departments to resolve any issues or discrepancies related to sales and purchase transactions.
3. Credit Control:
– Develop and implement effective credit control policies and procedures to minimize risk and maximize cash flow.
– Monitor customer credit limits and review credit terms to ensure compliance with company policies.
– Proactively manage outstanding debts, including initiating collection efforts, negotiating payment plans, and escalating collection activities when necessary.
– Collaborate with the sales team to assess and mitigate credit risks associated with new and existing customers.
– Manage the operation of various credit facilities so as to enhance positive cashflow.
4. Cashflow management:
– Monitoring cash flow to ensure incoming and outgoing cash meets planned expectations and alerting the business to potential surpluses and shortfalls and developing appropriate plans to maintain healthy working capital levels.
– Budgeting and planning and helping set realistic financial goals and allocating resources accordingly.
– Working Capital Management: review and optimize the levels of inventory, accounts receivable, and accounts payable to strike a balance between liquidity and operational requirements.
– Cash Flow Forecasting and Reporting: preparing accurate and timely cash flow reports for management and stakeholders,.
– Implementing strategies to improve cashflow through cost reduction, changing payment terms, and exploring financing options.
5. Accurate Reporting of Data:
– Ensure the accuracy and integrity of financial records, transactions, and reports.
– Prepare financial statements, management reports, and other financial analyses as required.
– Conduct regular reviews and reconciliations to identify and resolve any discrepancies or errors.
– Stay updated with relevant accounting standards, regulations, and best practices to ensure compliance in financial reporting.
Requirements:
– Bachelor’s degree in Accounting, Finance, or a related field. Professional certification such as CPA (Certified Public Accountant) or ACCA (Association of Chartered Certified Accountants) is highly desirable.
– Proven experience in a managerial role within the accounting or finance department.
– In-depth knowledge of accounting principles, financial regulations, and reporting standards.
– Strong analytical skills with a keen attention to detail.
– Proficiency in financial software and systems (e.g., QuickBooks, Excel, and other commonly used software packages).
– Excellent leadership, communication, and interpersonal skills.
– Ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
– Strong problem-solving and decision-making abilities.
– High ethical standards and commitment to maintaining confidentiality.
